COMPUWORK MANUAL
1/1/93

PROFILING INTRODUCTION

Profiling is a unique feature of the Compuwork System that allows the
user to utilize the large quantity of information he has amassed on
the system to create reports, letters, and/or labels to best suit his
needs. Profiling has four levels of operation: profile, sum, sort,
and print.

1. PROFILE is a way of searching your data for certain
information. If you had a stack of paper with your clients' name,
account number and current balance and need only those clients that
owed you $100 or more, you would look at each sheet of paper then at
the current balance field and decide whether or not that client met
the criteria.

2. SUM a field allows the computer to add up an amount field as
it profiles. This can save you time. On the example given above, if
you want a total of what is owed you on the accounts that are over
$100 instead of you going to a calculator and adding all those
balances that were over $100 the computer will do it for you.

3. SORTING the material that you have profiled in operation #1
above is "optional". Suppose you would like those clients found above
to be presented in a particular order; this is the sort function. If
you don't care about the order, you would not exercise this option.
The sort requires you to tell it which items you wish to sort by.
Suppose you want the above list to be in alphabetical order. This can
be done by sorting using field #9 Keysort.

4. PRINTING - After the data has been picked through, summed up
and sorted out, then it may be presented in several ways. You may
print a report of your information containing only what you wish to
show, totally independent of what was used in steps 1 & 3. If you
only want the name and current balance listed on a report, you may do
so.

You may send a stored letter to those meeting your criteria. The
stored letter must be prepared under Word Processing.

You can also produce mailing labels for those clients.

You can load a Lotus 1-2-3 disk.

In summary, there are four main types of presentation; report,
letter, label, and Lotus.

USE OF PROFILING

This section outlines the options you have under the Profiling menu.

There are several items on the PROFILING ANALYSIS menu to allow
you versatility, in general:

2 (Profiling) is used to generate reports.

3 (Form Letter) is used to send letters stored under Word
Processing to any name and address in the system.

4 (Custom Letter) is used to type a letter then store for
printing to any name and address in the system. Once printed it is
gone.

5 (Labels) is used to generate mailing labels.

6 (Straight Sort) is used to sort large files rapidly without
profiling.

7 (Set up SPREADSHEET) is used in conjunction with your PC
Lotus program.

8 (Find a ) is used to locate items containing
certain groups of characters or a string of information within
each record, (e.g. searching for "Peachtree" and "Atlanta" in the
client file one could receive a report for each client located on
Peachtree Street in Atlanta).

9 (Rerun current sort) allows you to reuse a sort already
done.

10 (Disk file) allows you to profile information that is
stored on a floppy diskette.

11 (Change from device E) is similar to selection #10 but not
normally used. For more information contact Compuwork.

12 (Stored sequence) allows you to use a stored profile
sequence for future use.

13 (Change sequence / Print as a form) allows you to exit to
another menu to add or modify a stored profiling sequence. You may
also print out any of the selections in a form format.

15 (String Profile) is used to reduce profiling time when
using fields that are alphanumeric.
NP

SPECIAL NOTE: When the client file has been the object of a sort,
the question Save This Order (y)? appears. If you need to save
this sort for future use to print client activity, client labels,
etc., you would answer with a "Y" and return. The second time you are
asked this question enter a return. Then when you are printing labels,
etc., and you are asked Sorted File (y)?; enter a "Y" and return,
and they will be printed in the order you profiled. Normally you
might save a sort under Straight Sort, but not under Regular
Profiling.

The procedures on Regular Profiling, Straight Sort, and String
Profiling are listed on the following pages.

An example of when to use Straight Sort and when to use Regular
Profiling: To sort your aged receivables for past due notices you
would use REGULAR PROFILING since you "don't need all" clients, only
the ones that are past due. For a complete customer listing sorted in
alpha order by keysort, you would use STRAIGHT SORT because you "need
all" the clients printed and not just a portion.

REGULAR PROFILING

This selection allows you to use information stored in the system to
create reports, send letters, create labels, etc.

Select 2 (Management).

7 (Profiling)

2 (Profiling)

Printer (1-X)? If you want your profile printed, enter the
printer number, otherwise just hit return through this prompt. If you
are profiling to print letters or are going to sort the profile a
printer number will not be necessary at this time. If you are
profiling to get a listing of general ledger numbers, clients, etc.,
you could request a printed copy now.

Which One? Enter the item number for the category you wish to
profile (where you would like to get the information from).

NOTE: There are many selections listed on this menu.
Listed below is a brief description of some you will
probably use most. Some of the accounting related files
ask for a password that will allow limited access. This
password will be the same password used when printing
checks or accessing "Modify Agency Information" (pg 2.21.1).

1 Client - These are your clients. Contained here is all the
information you entered under Add a Client along with Current Balance
and Initial Balance. If you wanted a list of your clients you would
select 1.

3 Company - These are your companies. If you needed a list of your
Insurance Companies and their Company numbers you would choose this
selection.

4 G.L. Number - This is your General Ledger. If you needed a list
of your General Ledger numbers and their headings you would select 4.

15 Producer - These are your producers. If you needed a list of
your producers and their numbers you would select 15.

29 Label II - These are your off-load labels. If you are profiling
your labels, be certain you make the correct label selection.

36 Address book - This is your address book. To profile
information that has been entered into your address book you would
select 36.
NP

40 Label 1 & 41 Label 2 - are two label selections.

47 Basic Policy - If you are Adding Policy information under
Client Services, the screen that gives you Type, Policy Number,
Effective and Expiration date, Company #, # of items and Premium is
called the Basic Policy screen. If you have been on the system a
short time and unable to use the expiration file, but have entered all
your policy information you might like to generate an expiration list
from this file. Another use for profiling is to find out how many
Personal Automobile or Homeowners policies you write with a particular
company. To use this selection enter 47.

The selections named Commercial Auto, Misc. Ins., Workers Comp.,
Personal Auto, Homeowners
and Property are the items you would
enter under Add a policy.

50 Policy - Applies to Cincinnati Policy issuance.

Send a letter,s (y)? If you wanted to send a letter stored under
word processing for the category being profiled, enter a "Y" ,
otherwise, just return through this prompt. If you are sending a
letter the following 6 questions will appear.

Letter #,f=priority ? If you want to send your letters to the
priority automatic notice file instead of the regular automatic
notice file answer this prompt with a "F". You will now receive
this same prompt again so that you may enter your stored letter #.
If you want letters to go to the regular automatic notice file,
enter the letter # the first time you receive this prompt. Please
be careful not to make an error while entering your letter number.
The letter number should begin with a Capital "L" do not enter a
lower case "l" or a "1" (one). "L" should be followed by a 0
(zero) this is a numeric ZERO. DO NOT enter an alpha "O".

# copies? SOP 5

Salutation? If you are sending letters to a file that
contains a Salutation field, by pressing return only at this
selection the system will pick the salutation. Some of the
selections that have the salutation are the Client, Address Book,
and Label. If you do not want to use the salutation that's
stored, just key in a new salutation. This will not change what's
stored but will print what you have keyed on the letter. If you
do not want a salutation at all, key in an * (asterisk) and press
return.

Signed? Enter the person's name that is sending the letter.
There will not be a place to put the persons title when sending
letters through Profile. If you need to enter a title some
options are as follows:

a) Enter the persons name then a comma and their title. For
example John Doe, President and press return.
NP

b) The second option is to type the close in the body of
your letter in Word Processing (be sure you use the NC command
at the end of your letter). That way the system will not close
the letter.

Enclosure? You will receive this prompt three times. You may
enter enclosures, a P.S., c.c., etc.. If you do not need to enter
anything in these prompts just return through them.

# fields to insert? If your letter contains a backward
slash, this would be an insert. Under profile, send a letter, the
only thing that can be inserted are the fields listed on the
screen. If you were sending a client a letter telling him what
his current balance was you would put a 1 at this question. Your
screen will scroll up and show you the fields that can be
inserted and you will receive the first insert question. On this
example at the Insert 1? you would key in 20 for current
balance and press return. If you do not have inserts, press
return only.

# OF FIELDS TO PROFILE <>=all? This is probably the most
confusing question you will receive. To understand what is needed at
this question be sure you have read the Profiling Introduction, page
2.6.1. Look at the list of fields on your screen. Decide whether or
not you want a select portion of this file. If you want the whole
file for a sort or for printing you can just press return only.
Remember, this question is not asking what you what to print or sort
and this question has nothing to do with the print or the sort.

A good example is if you have chosen #1 Client file to be profiled and
you want just the clients for producer 101 then you would need to
profile one field. You would enter a 1 at this question. This
question is not asking what field to profile it is asking how many of
the above fields will it need to look at.
You can profile up to 10
fields. See page 2.7.7 of this Management section for information on
profiling, sorting, or printing using client.

If you pressed return only at the # of fields to profile question you
will move right to # of fields to SUM. If you entered information
at this question, you will receive the following additional questions:

FIELD #? Enter the first FIELD # to be searched. In this case,
you would enter the field # for producer because you need to search
for the all the clients with producer 101.

1 = NUMBER, 2 = STRING, 3 = DATE, 4 = EXACT, 5 = CHAR? This
question is asking if the field you chose to profile is a number, a
string, a date, an exact string, or a particular character within a
field. You would enter a 1, since producer is a number field. A
string is a combination of alpha and numeric character or just
alpha characters in a field. A good example of String would be a
policy number field or a name field. Date would be an effective or
expiration date on a policy, or client's birth date. An exact
NP

string
is a combination of alpha and numeric characters or just
alpha characters that would be exactly the same on all records. A good
example would be to profile all your clients in Marietta. Marietta is
an EXACT STRING. Character profiling would be used when trying to
locate a particular character, alpha or numeric, that is mixed in with
other characters within a certain field.

Now, the program knows how many fields you want to profile. It knows
the first field to profile (producer) and it knows whether to look for
numbers, a combination of numbers & alpha, a date, an exact phrase,
or a particular character. The next question tells the computer FROM
what TO what.

If you are profiling an Exact string, the following Less than question
will not appear. On an exact string you would receive only one
question "Greater than or equal To?". Since an Exact string has no
variable, it will be exact.

GREATER THAN OR EQUAL TO? This question is asking what is the
LOWEST variable it should look for. In the example of the clients
for one producer we would enter 101. We do not want any producers less
than 101. If this was an alpha field we were profiling A, would be
the lowest on up to z. The whole alphabet is greater than A and
nothing is greater than z. If you were profiling an amount field and
the amount was a debit you could say Greater than 0 (zero). This
would give all debit amounts greater than 0. If you wanted credit
amounts, -.01 would be the lowest and a credit amount like
-99999999.99 would be the highest.

LESS THAN OR EQUAL TO? You would enter the HIGHEST variable
number. In the example of the clients by producer you would enter 101,
since you only want producer 101. If you wanted producer 101, 102 and
103 you would enter 103. This would give you everything between
producers 101 to 103. If an alpha field is being profiled you could
enter Z because everything is less than Z.

If we had chosen 2 fields to profile, you would receive a second
FIELD # message. Here you would enter the second field number
and return. The questions would than repeat themselves beginning with
the 1=Number, 2=String, 3=Date, 4=Exact String.

# of fields to sum? If you would like the computer to total an
amount field or several amount fields, enter the number of fields you
wish to have totaled. To bypass this, press return.

If you asked for a field to be summed, the computer will now ask which
field to sum:

NOTE: If you plan to "sort" the file you will need to "sum" it
after the sort or your totals will print only to the screen

Field #? Enter the field number you wish to have totaled and
press return.
NP

OK (n)? SOP 2

Sort (y)? If no particular order is needed for your profiled
information, just press return and you will move on to a print
message. If you need your profile to be sorted, enter a "Y" and
return. For example if this list of clients for producer 101 needed
to be in alphabetical order you would answer this question with a Y
and press return.

You will now get the question # of fields to Sort? we would enter
a 1 for one field to sort. At the Field #? question we would
enter a 9 for Keysort. If we were getting a client list for producers
101, 102 & 103 in alphabetical order, we would answer the number of
fields to sort question with a 2. The first field # to sort would be
8 for producer number this would put all the 101 then all the 102 then
all the 103 together. Then at the second field # question we would
enter 9 and it would alphabetize the 101 then the 102 then the 103. If
you choose to sort by an 8 character field, you will receive the
prompt Date (y)?. If you are sorting by a date, answer this prompt
with a "Y". If you are not sorting by a date just return thru this
prompt.

Note: Before entering the number of fields to sort, read
the following on Client Fields.

After receiving the "Sum" question you will receive a prompt for
Field Subtotal? Enter the field number you would like the system
to subtotal after. This is best used after you "sort" your file.
For example, if you would like a list of all your policies and have
the system subtotal after each company. Sort your file by company
number then subtotal field #6 (company).

Client Fields (y)? If you are sorting the client file you must
press return at this question. However, if you were sorting a file
other than the client file and want to sort by a field that is not
contained in that file but is contained in the client file you would
answer this question with a Y and press return. A good example of
when to answer this question with a Y is when you are profiling the
Basic Policy information and wanted the policies sorted by producer or
CSR. Neither the producer nor the CSR number is listed on the basic
policy screen, but, they are in the client file. To use client fields
to sort by follow the procedures below:

Remember to include the client field in the number of fields to sort.
If you were sorting your basic policy information by expiration and by
producer (which is a client field) you would enter a 2 for number of
fields to sort. At field number you would enter the client field
first, since we want our list by producer then in date order for each
producer. To figure the field number for a client field take the last
available field with a description, shown on your screen, for the file
you are sorting. The last field with a description that is listed for
Basic Policy is field number 8 (blank fields don't count) then add
that to one of the following:
NP

7=Producer
8=Administrator
9=Keysort

Note: Field # 7 when profiling the client file is the producer
field. The client file under profiling is where the numbers to the
left of our examples can be found.

You will now use the following formula:

Take 8 (last field with a description in the file you are profiling) +
7 (the number of the producer field in the client file under
profiling)= 15 - 3 (always the offset) = 12 (formulated producer field
#). At Field #? Enter a 12 and press return. Then at the
second Field #? Enter 4 for expiration.

At the Client Fields question answer with a Y and press return. Then
you will receive another selection that will look something like
this:

1 12
2 4
Which one?

At the Which one question, it is asking which one of the above
selections is the client field, so enter 1 and press return. Now it
is asking for the field length. The producer field is three characters
long so enter a 3 and press return. Which one? will appear again.
To escape just press return at this question. For more information on
using a second client file during profiling see page 2.7.7.

After the sort is completed you will receive the prompt Save this
order?
Press return only at this question. The only time you will
answer this question with a Y is if you are going to leave profiling
and and want to pick up this sort from another program. For
example if you wanted to run Client Activity which is in
accounting and wanted to use a sorted file you will answer this
question with a Y and return.

After the sort routine is finished you will return to the Profiling
menu. Now the Menu will read PROFILING ANALYSIS . To print
your report, select 2 (Profile). To run client activity etc.,
exit, then select the appropriate Main Menu item for printing. When
you are asked "Sorted File," enter a "Y" and return. If you sort the
client file, refer to the SPECIAL NOTE under USE OF PROFILING on page
2.6.2 of the Management section of your Compuwork Manual.

Printer (1-X)? SOP 6
NP

Send a Letter,s (y)? At this point, if you would like to send a
letter answer "Y". If you have sorted your file and would now like
to receive the "# of fields to sum" prompt enter an "S".

# of Fields to Print? How many fields do you need printed on
this report?

For the example given on the producer, we will probably want to print
the client's name, the 2 address lines, and the producer number.

Under # of Fields to Print? we would enter 4 and press return.

At the Field #? question we would enter the first field number we
want to print. Since we entered 4 fields to be printed we will
receive 4 Field #s to input. If you should make a mistake here, just
hit return at Field # and you will return to # of fields to print?

XX Long Field Limit <>? If you were printing a long field and did
not need to view the entire field, enter the number of characters
needed and return. To print the entire field, just hit return.

Client fields (y)? See client fields under sort.

OK? If entries are OK press return.

After the profile and/or print is complete, you will return to
the profile menu, select 1 to return to the Main Menu.

EXAMPLE FOR ALLOWING PROFILE OF A SECOND CLIENT FILE

This example will explain the basic concepts for profiling using a
second client file also. It will include all prompts that arise with
the use of this program and explanations for each. When the basic
concepts are understood, you will be able to receive numerous reports
using this feature.

NOTE: Before trying to use the following formula, you should go
into profiling and at "Which one?" enter a 1 for Client. Next, find
the field you are going to profile by and it's field number in this
file. For example, we will be profiling by the producer field so we
will need to know that its field number is 7. This number will be used
in our formula. Now you would exit profiling and start on our example.

Profiling #47 Basic Policy by Producer

From the Main Menu:

#2 Management
#7 Profiling
#2 Profiling

Printer (1-X ?) Enter your printer number if you are not going to
use the sort feature. If you sort, you will receive an additional
printer question after the sort is complete.

Which one? Enter the field you want to receive your information
on. In this case #47 Basic Policy.

Send a Letter (y)? You may send a letter to those meeting your
criteria. The letter must be set up under Word Processing.

# of fields to profile <>=all? This prompt is asking how many
fields you want to profile by. We are profiling by only one field, the
producer, so at this point we would enter a 1. We want to profile the
Basic policy file by producer (the producer field is a client file
field and does not show up under Basic policy as a profile selection).

Field #? This prompt is asking which field we want to profile by.
We want to profile by the producer field. As noted above, the producer
field does not show up on the Basic Policy profile screen. We will now
use a formula that will enable the system to locate the producer field
in the client file so we can use it to profile.
NP
To find the correct field number we will use this formula:

Note the last field on your profile screen, in
this case for Basic Policy, which has a description.
In this example it would be field #8. Note: There
is a field #9 but it has no description, just a 8
number.

Next add the field number of the field you want
to profile by. The producer field under the client +7
is #7.

Now because the client screen is offset by 3, you -3
would subtract 3. _______

So now by using the above formula our field number 12
will be 12. So at the "Field #?" prompt you would
enter a 12.

1=Number,2=String,3=Date,4=Exact,5=Char? This prompt wants to know
what type of field you are profiling. Since we are profiling by the
producer field we could enter a 4 for exact. Exact is used since we
are searching for one particular producer. We would choose 1 for
number if we wanted information from one producer number to another.

Greater than or equal to? Enter the producer number you want the
Basic Policy information for. In this example we want all Basic policy
information for producer 101. So at this prompt we will enter 101.

# of fields to sum? If you would like the computer to total an
amount field or several amount fields enter the total number of fields
you want to sum. In our example we are going to bypass this option so
we will just return at this prompt.

OK (n)? If everything is correct up to this point just hit return.

Sort (y)? If you need this file in some particular order enter a
"Y" and sort as you would under regular profiling. For our example we
are going to bypass this option so we will just return at this
prompt.

#of fields to print? This question is asking how many fields do
you want to print on this report. For this example we are going to ask
for 4 fields to print, (ie policy #, client #, producer #, CSR #).

You will use the previously discussed formula to enter the correct
field numbers for both the producer and CSR because as you can see
they do not show up as print selections.

Field #? 2 (Policy Number)
15 long field limit <>? Just enter a return.
Field #? 8 (Client #)
Field #? 12 (producer # found by using formula)
Field #? 13 (CSR # found by using the formula)

Client fields (y)? Since the producer and CSR fields are client
fields you will answer this prompt with a "Y". This tells the system
to look in the client file.

You will now receive a menu that looks like this:

1 2 0
2 8 0
3 12 0
4 13 0

Which number? This prompt is asking you to define the print
lengths for the fields you calculated. Start by entering a 3. 3
represents the first field you calculated, #3 Producer number.

Print length? Enter how many characters long the field is you want
to print. Since the producer number is 3 characters long you would
enter 3. You will now see a 2 where there was a 0 beside selection 3.
(Note: The actual print length will not be shown but will be converted
by the system. In this case from your input of 3 to a 2.)

Continue to answer these prompts for the remaining calculated fields.
(4) CSR # = 3 characters long.

After all print lengths have been entered, hit return at the "Which
number?" prompt.

OK (n)? If everything has been entered correctly up to this point,
hit return.

The system will now begin to profile your Basic Policy file by the one
producer number we chose. All the selections we chose will print, in
the order we input them, on our report.

REVENUE CALCULATION BY PROFILING

If you select any invoice file for profiling amount, company
commission, or producer commission fields they will be converted to
dollar amounts with the correct signs. These fields can be summed and
printed.

Field 57 = Agency Revenue (premium amount) using correct sign.
Field 58 = Agency commission (revenue) in dollar amount.
Field 59 = Producer 1 commission in dollar amount.
Field 60 = Producer 2 commission in dollar amount.

MULTI-LINE OUTPUT FOR PROFILING

To allow control of several fields of printing from profiling, a
carriage return, line feed option has been added to the print fields.
Print field 0 will do this, and an additional question "tab" to space
over to start the new line. For example if you profiled the client
file and wanted a list of consisting of Client Number on line 1,
Client name on line 2, Address on line 3, and Address on line 4 you
would answer the # of fields to print as follows:

# OF FIELDS TO PRINT? "8"
FIELD #? "2"
FIELD #? "3"
30 LONG FIELD LIMIT <>? "RETURN"
FIELD #? "0"
TAB? "7"
FIELD #? "4"
30 LONG FIELD LIMIT <>? "RETURN"
FIELD #? "0"
TAB? "7"
FIELD #? "5"
30 LONG FIELD LIMIT <>? "RETURN"
FIELD #? "0"
TAB? "7"
FIELD #? "6"

SORT FILE AND SUM FIELDS

Profile and sort the file as you normally would. When you go back
into profiling answer the prompt Send a letter,s (Y)? with a
"S", then answer the # of fields to sum question with the number of
fields you wish to sum and the field subtotal prompt with the field
number you sorted by.

LABELS FROM PROFILING

To print labels for mailing, file folders or roledex cards, and use
the information already stored in the computer to print these labels,
follow the instructions below:

There are several ways to print labels from profiling:

You can go into selection 2 (Profile) and profile a select
group
of information then sort the information in some kind of
order. To do labels this way see manual write ups on Profiling and
Sorting. After you finish the sort routine and return to the
PROFILING ANALYSIS <> menu you would select 5 (Label) and
follow the procedures below:

Printer (1-X)? SOP 6

Send a letter,s (y)? If you would like to send a letter to
automatic notice printing to be printed later for these labels
enter a "Y". To bypass this selection press return only.

The next 6 questions will only appear if you answered Send a Letter
with a "Y".

Letter #,f=priority ? If you answered the above question with
a "Y" then you will receive this question. If you want to send
your letters to the priority automatic notice file instead of
the regular automatic notice file, enter a "F". You will now
receive the same prompt again so that you may enter your stored
letter #. If you want the letters to go to the regular automatic
notice file, enter the letter # the first time you receive this
prompt. PLEASE be careful when entering your letter number.
There is nothing worse than 2000 bad letters in Automatic Notice
printing that you can't use!!!!!!

# copies? SOP 5

Salutation? If you press return here the system will pick up
the salutation from the file you are printing labels from. If
there is no salutation in that file the computer will put Dear
Client:. If you want to enter a different salutation key it in
to the right of the question mark. Remember, this will be for
all letters generated.

Signed? Enter the person's name sending the letter.

Enclosure? You will receive this prompt 3 times. You may
enter enclosures, a P.S., c.c., etc. If you do not need to enter
anything in these prompts just return through them.

How many fields to insert? If your letter contains a
backward slash, this would be an insert. Under this selection
the only things that can be inserted are the fields listed on the
screen. If you enter a 1 here and press return, your screen will
scroll up. These will be the only fields you can insert.

How many labels of each? Enter the number of labels for each
record you want printed. If you just wanted 1 label you would
enter a 1 and press return.

Laser (y)? If you are going to print your labels on the Laser
printer, answer this prompt with a "Y". If not using a Laser,
just return thru this prompt.

Add fields (y)? The system normally prints labels as
follows:
Attention Line
Company Name
Street Address or Post Office Box
City, State and Zip

These labels will be printed 3 across. If you wanted to
change the way the system prints labels you would answer this
question with a "y" and return. If you are happy with the way
the system prints the label press return only.

If you answered the Add Fields with a "Y" you will receive the
following 8 questions:

3? This is the number of labels it will print across. If
you are printing labels that are single, you would enter a 1 here
and press return. If you are using the standard three across
labels, press return only.

6? This is the number of available lines on the standard
labels. If your labels are long, enter the number of printed
lines your label could hold. Otherwise, press return only.

36? This is the width of the standard label in characters.
If your label is wider, enter the number of characters your label
could hold. If using the Laser, it will read 33.

5? This is the maximum number of printed lines. If you want
to increase or decrease, enter the new value and press return. Be
careful here, this value needs to be 1 less than the number of
available lines you enter above.

0? This 0 (zero) is the margin. Entering a 5 here would move
the print over to the right 5 characters. Normally you would just
return thru this prompt, but if you wanted to adjust the margin
you could do it with this prompt. It will read 1 when using
the Laser.

0? The 0 (zero) means use standard set up in the print,
Attention Line first, the Company Name on the next line,
etc. If you want to change this enter a 1. The 1 means
you want to input your own print format. A good example
is if you wanted your labels to show producer number and
phone number along with the Name and Address.

34? This will allow you to limit the print length on your
labels. It will read 30 if using a Laser.

0? This seletion is used to change the Font (print style).
For any printer other than a Laser you will just hit return. If
using a Laser it will read 9. This is the Font your print
will default to if you enter a return. To change the Font enter
the Font # you want to use.

You will now receive the line and the fields for you to enter what you
want printed. The only problem with this is you will need the field
numbers. The best place for you to get the field numbers is under
Profiling, then the file you will be doing these labels from. Each
field is a number, jot these numbers down for easy reference.

Line 1 Field 1? Enter the field number you want to print on the
far left of the top line on your label, for example, 7 for the
producer number, then press return. When you press return Line 1
Field 2? will cover up what you just entered, don't be concerned.

Line 1 Field 2? This is about the middle of your label, still on
the first line. Enter the second field number you want to print on the
first line of your label, and press return. For example 14, the phone
number.

Line 1 Field 3? This would be the right side of the first line
of the label. If you wanted a third field, enter that field number
and press return.

Line 2 Field 1? Line 2 Field 2? Line 2 Field 3?
Line 3 Field 1? Line 3 Field 2? Line 3 Field 3?

This will continue until you have entered the total number of printed
lines you requested. After you have entered the field numbers you
wish to print, the computer will print out 1 line of labels and give
you an OK (n)? If the labels are aligned properly, and the print
is ok, press return, and the labels will continue printing. If you
need to adjust your paper, do so now and answer the OK question with
an "n" and return. You will get another set of labels printed as
before. Continue until you have the paper aligned, then press return
at the OK message.

This selection allows you to profile using partial field information.
Unlike regular profiling, you do not have to profile the total field
information. For example, you could profile all clients numbers
101000 thru 102999 by entering 101 at the "greater than or equal to"
prompt and 102 at the "less than or equal to" prompt. This will give
you all client numbers that contain 101 through 102 in the beginning
of the client number field. There is no certain number of characters
that you must use, but the information you use to profile with must be
located at the beginning of the field.

SPREAD SHEET

Spread sheet was designed to allow an agency to do computations and
evaluations of numbers for needed reports. Reports that are now being
hand written or typed on columnar paper can easily be programmed by
you and entered in the system. Spread Sheet was written in an easy to
program language so an agent can design a report to suit his own
personal needs.

Spread sheets presently set up in the system are: an "Underwriters
Worksheet" used to evaluate surety accounts and an "Illustration of
Accumulated Values" used to compute retirement plan proposals.

In this section you will learn how to program spread sheets. The top
of the spread sheet contains Headings, to tell you about the report.
Underneath the heading, come the base numbers called the "P Numbers,"
used to calculate your report. After the P numbers, come your
calculated information in Columns, Rows and Values. When programming,
use the following Indicator Codes for the items discussed in this
paragraph.

H = Heading
P = P Numbers
C = Column
R = Row
V = Value

There is another set of codes used to compute the columns, rows and
numbers called Operation Codes, which are listed below. These
codes must consist of three characters. If only one character
appears, it will be followed by two spaces.

+ = Add
- = Subtract
* = Multiply
/ = Divide
SUM = Sum a column of numbers
NEG = Is a negative value
POS = Is a positive value
ZER = Is a zero value
INP = Input values at run time
XIN = Find a monthly payment
SUI = Sum interest paid for each year
PRV = Principal value
SIM = Simple compounded interest
INF = Inflation - Simple compounding
ACC = Accumulation of data (in a column)

For you to see how a spread sheet works, we will enter an example
titled Income Evaluation. This evaluation will compute net income
based on a person's current income and using an inflation rate for the
next five years.

Select 2 (Management).

10 (Spread Sheet)

5 (New Sheet)

25 Storage #:? This message means you have room to store 25
different forms. What number do you wish to use to store the new
form. If you are unsure of an available number, you can hit return
here then select 8 to run a list of stored sheets and the storage
numbers used. Enter an available number. Although you can only store
25 different forms, you can reuse these forms as many times as needed
and by changing your "P Numbers" you can change your base amounts to
fit your present needs. At this time it will be ok to enter 13.

Input Titles? Enter the heading or title of your choice. For the
example, enter INCOME EVALUATION. Another question mark will appear.
Enter John Doe. At the next question mark, if more title space is
needed, you would use this line. To move on to the next question, hit
return only.

# of Decimal Places? Enter the number of decimal places needed.
If none hit return only. For the example, enter a 2.

# of Rows? For the example, we will do a 5 year evaluation,
meaning we need 5 rows. Enter a 5.

0# of Columns? For the example, we will enter 3.

P #3 ID? The next questions ask for your "P Number" titles and
values. P0 thru P2 have already been titled as follows: P0 =
Decimals, P1 = Rows, P2 = Columns
. For a P3 title, enter "Income".

Value? What is the value to enter for P3 (income). For the
example, enter 20000. Do NOT enter commas or dollar signs.

P #4 ID? Enter Inflation Rate.

Value? Enter .07 for the inflation rate value.

P #5 ID? Hit return to move on to the next questions because we
have no other P numbers to enter at this time.

Row 1 ID? Enter "Yr". "Yr" stands for the first year. It is not
necessary to enter "Yr" next to every row, so just hit return thru Row
5 ID.

Column 1 ID? Enter "INC". "INC" stands for income and is the
title for your first column. On rows and columns, you should
abbreviate when possible to conserve space.

Column 2 ID? Enter TAX.

Column 3 ID? Enter NET.

Input your operations? Now is the time to use the Compuwork
program commands. Enter each command after the question marks. Each
command will begin with a placement code, which is an Indicator Code.
Followed by an Indicator Code and line number. Followed by a 3 digit
Operation Code. Ended with an Indicator Code and line number. Each
command will be explained to help you understand the meaning of the
codes.

Enter H2=P1INPP1 and return. H2 tells the system to print this
command after heading number 1. P1 has no meaning but has to be
inserted because you need an Indicator code to begin a command. INP
is an Operation code meaning you wish to insert data. You must end
with an Indicator code, P1 was chosen but has no meaning. H2 and INP
are the key codes. The "P1's" were inserted because the command has
to begin and end with Indicator Codes. In this situation P2, C1, etc.
could have been used for Indicator codes.

Enter C1=P3INFP4 and return. C1 is telling the system to print
this command in column 1. The complete command tells the system to
take the value in P3 (Income) and use the INF (Inflation Rate) located
in P4, then take this new value and print it in column number 1, row
by row until the column is filled.

Enter C2=C1TA1C1 and return. C2 is telling the system to print
this command in column 2. The complete command tells the system to
take the value in column 1 and compute by tax table number 1, and
print it in column 2. The last C1 has no purpose but had to be
inserted because we needed an ending Indicator code.

Enter C3=C1- C2 and return. NOTICE you have 2 spaces after the
minus sign. C3 tells the system to print this command in column
number 3. The complete command tells the system to take the value in
column 1 and subtract column 3 from it, then print the new value in
column 3.

Comment ? You may enter a comment or just return if none is
needed.

Hit return at this question mark to return to the Spread Sheet Menu.

Believe it or not, you have just programmed your first spread sheet
and are ready to begin running this report to see just what you
created.
